Hire an EcoVadis consultant when a customer asks for your first scorecard, when your score or medal falls short of what a buyer requires, or when your reassessment is close and nobody internally knows the methodology. If someone on your team can own the process and has time, you can often do it yourself.
Most companies start looking for EcoVadis help on the day a customer’s procurement team sends the invitation. That is a natural trigger, and often a late one. Our EcoVadis engagements cluster between August and February, when submissions peak and every specialist in this market is at their busiest.
Below are 6 moments when an outside consultant usually pays for itself, the situations where you can do without one, and how to plan the timing.
The 6 moments when a consultant pays for itself
1. A customer asks for your first scorecard
A first assessment has no scorecard and no Corrective Action Plan to start from, and the evidence EcoVadis expects often exists only in people’s heads. That is where outside help saves the most time. Full preparation, from gap analysis to submission, usually takes 6 to 12 weeks, and most of the hours go into documents that still have to be written.
Start with a gap analysis before anyone opens the questionnaire. In our records of 63 EcoVadis engagements, the clients who did so moved into implementation within the same period, while those who began by filling in answers found out halfway that the evidence did not exist yet.
2. Your medal falls short of what a buyer or tender requires
Most supply chain requirements ask for Silver or Gold. Medals are awarded on percentile rank, so the score you need moves as the database improves: Silver is the top 15% and Gold the top 5% of companies assessed in the previous 12 months, with a minimum of 30 in every theme.

3. Your score dropped and you do not know why
A lower score with the same practices usually means your evidence stopped counting. EcoVadis changed several rules in April and May 2026, so documents that passed last year can now fall short. Site-level evidence has to cover at least 80% of your operations or employees, and 95% for energy and greenhouse gas KPIs, and revenue no longer counts towards that coverage. Certificates marked “in progress” are no longer accepted.

4. Your reassessment is close and last year’s owner has left
Scorecards are valid for 12 months, so EcoVadis runs as an annual cycle. When the person who handled last year’s submission has moved on, the next one often starts from memory. Of the 23 companies in our records, 15 came back for another EcoVadis engagement, and every returning client kept the same consultant. The second cycle goes faster when someone already knows where your evidence lives and which answers were judgement calls.
If your deadline is weeks away, availability matters more than anything else on your shortlist.
5. You think the analyst misread your evidence
Since Q2 2026 you see your scorecard 2 business days before it is published and can report factual errors, such as a document that was wrongly rejected. After publication, an appeal lets you contest how your submission was scored. Both go faster with someone who knows what you submitted. The 3 appeals among our 63 engagements took between 3 and 10 hours each.
6. The scorecard is in and nobody knows what to do with it
The Corrective Action Plan in the EcoVadis platform ranks your improvement areas by priority and shows how many of your customers asked you to address them. Scorecards published after 15 April 2026 also name specific gaps, such as a policy without quantitative targets. Turning that list into a plan with owners and dates before the next cycle starts is the step most companies skip.
When you can do it yourself
Plenty of companies complete the questionnaire without outside help. That works when someone on your team knows the methodology, your core policies already exist and are in daily use, and your submission date leaves room to fix what you find. There is also a middle route. Buy a scorecard review or gap scan, which starts at about β¬1,500 where consultants publish their prices, and do the implementation yourself. Plan backwards from the date you need the scorecard
EcoVadis typically needs 6 to 8 weeks after submission to publish your scorecard, and longer in periods of high demand. Add the preparation and the planning looks like this:
- Full preparation for a first assessment, including the gap analysis: 6 to 12 weeks
- Score optimisation when you already have a scorecard: 4 to 8 weeks
- Analysis by EcoVadis after you submit: 6 to 8 weeks
For a first assessment that adds up to 12 to 20 weeks, so start 3 to 5 months before the date a customer needs your scorecard. EcoVadis also sets a yearly submission date after which it cannot guarantee publication before the end of the calendar year. None of the preparation has to happen close to your submission date. March to July is quiet in our records, which makes it the easiest time to find an experienced consultant and to finish a gap analysis, a policy review or an evidence library without time pressure.
